· Issuing of computericed statements for levies and utilities on a monthly basis.
· Individual “hard copy “ files are created for each individual owner and Body Corporate.
· All financial transactions i.e. bank deposits, direct or Internet deposits, cash or cheques are downloaded from any financial institution onto our computer system on a daily basis
· Reviewing of arrear debtors on the 7th and 14th of each month. Where payment is not received, and after instruction from the trustees, the handing over to attorneys for summons/collection as necessary
· Assisting in obtaining quoatations and supervision of large maintenance projects
· Trustees are provided with self-explanatory levy rolls on a monthly basis, giving details of all charges made, payments received and arrears that are outstanding
· Water and Electricity recoveries
· Calling for quotations in respect of any maintenance/repairs, etc, as the case may be, at the request of the trustees
· Doing quarterly comparison to budget reports for income and expenditure
· Trustees are provided with a self-explanatory disbursement statement on a monthly basis showing details of all payments made on behalf of the Body Corporate
· Enforcing the credit control policy addapted by the Body Corporate
· Control salaries, U.I.F., P.A.Y.E., etc. Negotiation of suitable insurance policies and premiums, Corporate Policies, Political Riot and Fidelity Insurance
· Arranging and attending quarterly trustees meetings
· Notification for the Annual General Meeting, and the instructing of the auditors to prepare the necessary audited financial statements to be presented at the Annual General Meetings, and on behalf of the trustees to prepare annual estimates of income and expenditure for the ensuing year
· Provide copies of minutes of meetings for the benefit of each trustee/owner
